Terms of Service

    The rules and conditions for using the WasteFindr platform.

    1. Acceptance of Terms

    By accessing or using WasteFindr ("the Platform"), you agree to be bound by these Terms of Service, our Privacy Policy, Cookie Policy, Refund Policy, and Cancellation Policy. If you do not agree, you must not use the Platform.

    2. About WasteFindr

    WasteFindr is an online directory and management platform operated by WasteFindr Limited (Company No. 17125820), a company registered in England and Wales. The Platform connects customers with licensed waste clearance businesses and provides tools for businesses to manage leads, quotes, invoices, waste transfer notes, team members, customers, and support tickets.

    WasteFindr acts solely as a directory and intermediary platform. We do not provide waste clearance services directly. WasteFindr Limited accepts no responsibility whatsoever for any work carried out, or services provided, by businesses listed on the Platform. We shall not be held liable for the quality, safety, timeliness, legality, or outcome of any services arranged through or discovered via WasteFindr.

    While we take reasonable steps to verify the credentials and waste carrier licences of businesses listed on the Platform, such verification does not constitute an endorsement, guarantee, or warranty of any kind regarding the business's competence, reliability, or the standard of work performed. Users engage businesses entirely at their own risk and are encouraged to carry out their own due diligence before commissioning any work.

    3. User Accounts

    3.1 Registration

    To access certain features, you must create an account with a valid email address. You must verify your email address before you can sign in. You agree to provide accurate, complete, and current information during registration and keep your account details up to date.

    3.2 Account Security

    You are responsible for maintaining the confidentiality of your login credentials. The Platform enforces the following security measures:

    • Passwords must be changed every 90 days
    • You may not reuse your last 5 passwords
    • Team members on Findr Elite accounts are required to set up multi-factor authentication (MFA)
    • Non-Elite tier business accounts are limited to one active session at a time (sessions expire after 1 hour of inactivity)

    You must notify us immediately of any unauthorised access to your account.

    3.3 Account Types

    WasteFindr offers different account types including customer accounts, business owner accounts, local authority accounts, and administrator accounts. Each has different permissions and responsibilities.

    4. Subscription Plans & Billing

    4.1 Plans

    WasteFindr offers three subscription tiers for businesses:

    • Findr Starter — £9.99/month. Includes business directory listing, leads & enquiries, and support ticketing.
    • Findr Pro — £19.99/month. Includes everything in Starter plus professional quotes, invoicing with VAT, and waste transfer notes (20 documents/month each), with document top-up packs available.
    • Findr Elite — £29.99/month. Includes everything in Pro with increased document limits (60/month each), online invoice payments, live chat support, a dedicated account manager, and up to 5 team members.

    4.2 Free Trials

    All new businesses receive a 3-month free Findr Elite trial from the date of registration with full access to all features. After this promotional period, billing converts to the post-trial tier the business selected during setup. A payment method must be added during profile setup. Automated reminders are sent 30, 14, 7, and 1 day before trial expiration.

    4.3 Billing

    After the trial period, billing begins automatically at your selected plan's monthly rate. All payments are non-refundable — see our Refund Policy.

    4.4 Online Invoice Payments

    Findr Elite members may enable online invoice payments, allowing their customers to pay invoices via Stripe. Funds are collected into the platform's central Stripe account, with payouts scheduled to the business's nominated bank account. Business owners can configure whether to absorb Stripe processing fees or pass them to the consumer. This feature is exclusively available to Findr Elite subscribers.

    5. Business Listings

    5.1 Registration Requirements

    Businesses listing on WasteFindr must provide a valid waste carrier registration number. Registrations are verified against the Environment Agency register. All listings are subject to approval by WasteFindr. Business onboarding requires a completed profile, five verification documents, the addition of a payment method, and selection of a post-trial subscription tier before submission for approval.

    5.2 Verification

    WasteFindr verifies business credentials including waste carrier licences. A "verified" badge indicates that basic checks have been completed, but does not constitute a guarantee of service quality. Periodic re-verification is performed automatically to maintain compliance integrity.

    5.3 Business Responsibilities

    Listed businesses must:

    • Hold all necessary licences and permits for waste clearance operations
    • Comply with all applicable environmental and waste management regulations
    • Keep their listing information accurate and up to date
    • Respond to customer enquiries in a timely and professional manner
    • Issue proper waste transfer notes for all waste movements

    5.4 Address Privacy

    Full business addresses are used only for administrative and verification purposes. Public business profiles display only the City/Town — specific street addresses and postcodes are kept private from public view.

    6. Disputes Between Customers & Businesses

    WasteFindr is an intermediary directory platform and does not provide waste clearance or any other services directly. Accordingly:

    • No responsibility for service disputes. WasteFindr accepts no responsibility whatsoever for any disputes, disagreements, claims, or complaints arising from the services received from, or any interaction with, a business listed on the Platform. This includes, without limitation, disputes relating to the quality, safety, timeliness, cost, completeness, legality, or outcome of any work carried out.
    • Direct resolution required. All disputes must be raised directly with the business that was hired to perform the services. WasteFindr has no obligation to mediate, arbitrate, investigate, or otherwise intervene in any dispute between a customer and a listed business.
    • No financial liability. WasteFindr shall not be liable for any financial loss, property damage, personal injury, environmental harm, or any other loss or damage arising from services arranged through or discovered via the Platform.
    • Reviews as recourse. Customers may leave honest, factual reviews of their experience with a business on the Platform. Reviews must comply with Section 9 of these terms.
    • Reporting serious concerns. If you believe a business has acted illegally (e.g. fly-tipping, operating without a valid waste carrier licence), you should report this to the Environment Agency and/or your local council.

    By using the Platform to find and engage a business, you acknowledge and agree that you do so entirely at your own risk and that WasteFindr bears no responsibility for the actions, omissions, or conduct of any listed business.

    7. Customer Responsibilities

    Customers using WasteFindr agree to:

    • Provide accurate information when requesting quotes or services
    • Leave honest and fair reviews based on genuine experiences
    • Not misuse the platform to harass or deceive businesses
    • Comply with their duty of care obligations under waste management legislation
    • Raise any service-related disputes directly with the business concerned, not with WasteFindr

    8. Waste Crime Reporting

    WasteFindr provides tools for the public to report suspected waste crime including fly-tipping and unlicensed carriers. Reports are stored securely and may be shared with relevant local authorities. WasteFindr is not a substitute for reporting to the Environment Agency or local council.

    9. Reviews

    Users may leave reviews for businesses they have engaged with. Reviews must be honest, factual, and based on genuine experiences. WasteFindr reserves the right to remove reviews that are fraudulent, abusive, or violate these terms.

    10. Email Communications

    By using the Platform, you consent to receiving transactional emails (account verification, password resets, security notifications) which cannot be unsubscribed from. Service notification emails (lead alerts, quote/invoice notifications, trial reminders) include a one-click unsubscribe link. All notification emails are sent from our verified notify.wastefindr.co.uk subdomain.

    11. Data Protection

    We process personal data in accordance with UK GDPR. You can download all your personal data at any time from Dashboard → Settings → Download My Data. For full details, see our Privacy Policy.

    12. Intellectual Property

    All content, trademarks, and intellectual property on WasteFindr are owned by or licensed to us. You may not copy, modify, distribute, or reproduce any part of the Platform without our prior written consent.

    13. Limitation of Liability

    To the maximum extent permitted by law, WasteFindr shall not be liable for:

    • Any loss or damage arising from the use of services provided by listed businesses
    • The accuracy of information provided by businesses or users
    • Any indirect, incidental, or consequential damages
    • Service interruptions or data loss
    • Decisions made by local authorities or regulators based on waste crime reports submitted through the Platform
    • Payment disputes between businesses and their customers for online invoice payments
    • Any disputes, claims, or complaints arising from services arranged through or discovered via the Platform

    14. Account Closure & Archiving

    When a business account is closed, all associated data (profile, leads, quotes, invoices, waste transfer notes, team members, customers, documents, and reviews) is archived and retained for a mandatory 7-year period in compliance with legal and regulatory requirements. Archived data may be reinstated subject to administrative re-verification. After the 7-year retention period, archived data is permanently deleted.

    15. Termination

    We may suspend or terminate your account at any time if you breach these Terms of Service or engage in conduct that we consider harmful to the Platform or other users. You may cancel your subscription from your Dashboard at any time (see Cancellation Policy). To permanently delete your account and all data, contact us at hello@wastefindr.co.uk.

    16. Governing Law

    These Terms of Service are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

    17. Changes to These Terms

    We may update these Terms of Service from time to time. Continued use of the Platform after changes are posted constitutes acceptance of the revised terms.
